Creating Message Templates

Do you have messages that you send regularly to the people you closely work with? Whether it be a message when you onboard a staff member, follow-ups, or your protocols when fostering an animal. 

With Companion case management, you can easily save these messages and incorporate them into your workflows for efficiency! Say goodbye to typing every message again from scratch! 

You have the option to create two types of templates in CCM: an email message and a text message. First, we will walk you through creating an email template.

Creating an Email Message Template

Step 1: On your organization dashboard, click on the ‘Companion Case Management tab’ and select ‘Templates’.

Step 2: Click on the plus icon.

Step 3: Select ‘Email’ on the ‘Template Type’.

Step 4: Name your template so you can easily figure out what the message is for. This will only be visible to your organization.

Step 5: Type in your subject title.

Step 6: Supply the message in the ‘Content’ section. You can format your message however you like with the built-in customization tab. 

Step 7: You can also add files such as images, videos, and documents by clicking the plus icon.

Step 8: Click ‘Save’.

Once you’re done, the template will be added to the list of templates available which can be used with your workflows. 

Creating a Text Message Template

Now, let’s create a text message template.

Step 1: Same as the email template, you will start on your organization dashboard. Click on the ‘Companion Case Management’ tab, and select ‘Templates’.

Step 2: Click on the plus icon.

Step 3: Select ‘Text’ on the ‘Template Type’.

Step 4: Select which mobile number you want to use in sending the text message then click ‘Submit’.

Step 5: Name your template so you can easily figure out what the message is for. 

Step 6: Supply the message in the Content section. Unlike email templates, you are only limited to 160 characters, so it’s best to keep your text message short. 

Step 7: Click ‘Save’. The text template will be added to the list of your pre-saved templates as well.
